Providing a Next-generation School Administration Support System

The service is currently available only to Meikei High School and Junior High School, but we will consider offering it to other schools or turning it into a packaged product in response to demand.

Attendance notices from parents or students are reflected automatically, providing convenient attendance management that teachers can use without difficulty during limited class time.
What Problems Do School Administration Systems Face?
- The school administration support system has an attendance function, but it cannot actually be used effectively in the classroom.
- As a result, attendance is recorded on paper during class and entered into the system again after school.
- Attendance information is received through a parent communication tool, but because it is not integrated with the school administration support system, staff must consult that tool and transcribe the information into the separate system.
To solve these problems, we can provide the following system.
Integration with Microsoft 365
Microsoft 365 offers many useful standalone applications, but integrating it with a school administration support system creates additional benefits.
Identity Integration
Using AzureAd makes it possible to standardize identity management and the authentication and authorization platform. Convenience and assurance tend to involve a security tradeoff, but this approach can achieve both at a high level.
Schedule Integration
Timetable information can be integrated with the responsible teacher's Outlook calendar. This encourages calendar sharing across the school and makes it possible to automate appointment management for activities such as parent-teacher-student conferences.
Automated Communication and File Integration
Forms can automatically be sent to OneDrive and saved securely, and report cards can be automatically sent to students and parents through Teams. Automation also prevents human errors that readily occur in manual work such as attaching and enclosing documents.
Power BI Integration—Planned for Development—
Integration with PowerBI can present information in dashboards without labor-intensive data processing. * This is not currently provided as standard, but we can accommodate requests.
Integration with SmartFlow
It can be used on its own for school expense claims, business trip requests, and various applications involving students. Integrating it with the school administration support system enables further automation.
Attendance Management
SmartFlow absence notices are reflected directly in the school administration support system with an “Absent” status, eliminating the need for transcription.
Student Information for Clubs and Other Activities
For student information about clubs and other activities, integrating club enrollment and withdrawal notices with the school administration support system eliminates transcription and lets approved information update student records directly.
Support for Statutory Forms
The system naturally supports everyday forms such as report cards and attendance sheets as well as statutory forms such as cumulative guidance records and school reports. In addition, forms needed to operate the IB course can be generated automatically.
Provided as a Cloud Service
Our school administration support system is provided as a cloud service. This eliminates the need to install it on each teacher's computer or manage servers at the school. Appropriate backups are performed without the school having to establish separate disaster recovery measures.
